They are sitting in a parked car. The appointment is in twelve minutes. Someone emailed a “quick intake” with 22 fields.
Name. Exactly as it appears on the ID. Date of birth. Address. ID number. Issuing country. Expiration.
The passport is in the cup holder. They have already taken a photo of it, because that is what every other process asked for this year. Now they are typing the same facts with one thumb, checking the photo, mistyping a 5 as a 6, going back.
This is the last insult of the form. You already have the document. You still make them perform it.
A lot of people close the tab here. Not because the case stopped mattering. Because the work got stupid.
The document is the answer. The fields are the copy.
Immigration, insurance, clinics, mortgage, recruiting. The pattern is the same. The person has a card, a letter, a bill, or a passport. Your process needs the values on it. The old way is: stare at the paper, type, hope nobody transposes a digit.
That hope fails in boring ways. A wrong ID number duplicates a record. A wrong date of birth blows a background check. A wrong address sends the packet to a house they left last year. Then a human spends the first meeting fixing what the form already asked for.
Let them upload. Let them confirm.
In ioZen, a file question can read the document and fill the child fields for them.
They upload a driver license. Name, address, and date of birth come through. They upload an invoice. Account number, total, and date pull out. They upload a utility bill. The service address is sitting there when they reach that question.
The respondent still reviews every pre-filled answer before the conversation continues. If the read is shaky, the field stays blank and they type it. We do not silently invent a passport number.
You turn this on in the file field: enable AI extraction, add a hint like “US driver license” or “passport biodata page,” and optionally generate the child questions from a sample. It works inside conditional branches, not only at the top of the flow. Available on Pro, Business, and Enterprise. The document extraction guide is the setup version of this.
This is where long intake actually finishes
One question at a time already helps, because the brain does not have to hold eleven fields at once. Document extraction helps for a different reason. It removes the work that feels like you do not trust the paper they are holding.
Immigration clients will photograph a passport from WhatsApp if you let them. Quote requests get faster when the declarations page is a photo, not a typing test. Clinic intake stops asking patients to re-enter insurance card numbers they can see on the screen.
If you also run the conversation in chat, they never leave the thread to find a scanner. That is the pairing we use on WhatsApp and on immigration intake.
The form made people copy the document by hand because the form could not see. Yours can. Stop asking them to type it.
