Glossary

The unit of consumption for AI features. Each operation costs a defined number of credits.

An item on a Process Board. Created automatically when a respondent completes an Intake Bot.

The universal term for what flows through a Process Board. A case can be a lead (sales), claim (insurance), patient visit (healthcare), candidate (recruiting), and so on.

A workspace-level person. Created or updated automatically when a respondent submits an Intake Bot. Tracks all interactions across FlowApps.

A one-time purchase of additional AI credits. Available on paid plans.

A field whose value is encrypted at rest using Supabase Vault. Available on Business+.

The top-level container. One FlowApp combines an Intake Bot, Process Board, Records, Contacts, and Routing in one place.

A field that is never shown to the respondent but stores a value (from URL parameter, embed attribute, or static default) and can drive conditional logic or routing.

The conversational interface that collects information from respondents. Replaces traditional forms.

A celebration effect that can be triggered by a content block. Nine kinds available.

A column on a Process Board. Cards move through phases as work progresses.

A field whose value is excluded from all AI processing. Stored separately with restricted access. Available on Business+.

A kanban-style board for tracking cases through stages (phases). Internal tool, respondents never see it.

A structured data instance. Each Submission creates a Record according to the Record Type schema.

A custom data schema you define (fields, contact linking options). Like a database table definition.

The person filling out an Intake Bot. Not a workspace member or team member.

Access level within a Workspace. Owner, Admin, or Member.

A saved filter on Contacts that creates a dynamic list. Updates automatically as contacts match or stop matching criteria.

A completed Intake Bot conversation. The data collected from one respondent’s session.

A label assigned to a Contact for categorization.

The tone applied to an AI-generated Intake Bot. Shapes questions, follow-ups, content blocks, and welcome/farewell messages. Options: Playful, Warm, Professional, Formal, Ludicrous.

The multi-tenant container that owns all FlowApps, contacts, and billing.
